Guidance on Photographs and Filming
1. Purpose
1.1 The purpose of this guidance is to ensure the safe, responsible, and lawful use of photographs and videos of children and young people attending DSD classes, workshops, performances, or events.
1.2 DSD recognises that images and recordings can be used for educational, promotional, or developmental purposes but must always protect the safety, privacy, and welfare of students.
2. Scope
2.1 This guidance applies to:
- Staff and teachers;
- Volunteers, including parent helpers;
- Chaperones;
- Parents and guardians;
- Students attending DSD classes and events.
2.2 It applies to all photography, videography, live streaming, or any form of image capture at:
- DSD studio on Spott Road;
- Hallhill Sports Centre;
- Off-site events, performances, or competitions;
- Online or virtual classes.
3. Principles
3.1 Consent
- Written consent must be obtained from parents/guardians before any images or recordings of children are taken or used.
- Consent must clearly specify how the images will be used (e.g., class demonstration, social media, promotional material).
- Parents/guardians have the right to withdraw consent at any time.
3.2 Privacy and Confidentiality
- Images must be stored and shared in line with DSD’s Data Protection Policy.
3.3 Appropriate Use
- Photographs or videos should depict children in suitable clothing and in appropriate, respectful poses.
- Content should reflect the positive and educational nature of DSD activities.
- No images should be used for personal, commercial, or inappropriate purposes.
3.4 Safety
- Images must not be posted online or shared publicly if they include other children without the explicit consent of their parents/guardians.
- Students should be supervised at all times during photography or filming.
4. Photography and Filming During Classes and Performances
4.1 Parental Participation
- Parents may photograph or film their own children during performances or in class with permission.
- Images or videos including other children must not be shared without the consent of the other children’s parents.
4.2 Staff and Volunteer Photography
- Staff may record lessons for educational or choreographic purposes only.
- Such recordings must be securely stored and deleted once no longer required.
4.3 DSD Promotional Material
- Any images or videos used for promotional purposes (website, brochures, social media, displays) require written parental consent.
- Only staff authorised by DSD may capture or use these images.
4.4 Online Classes
- Students participating in online classes must:
- Be in a safe location, ideally in the presence of a parent/guardian;
- Dress appropriately;
- Not share recordings or screenshots with others without consent.
5. Storage and Security
5.1 Digital and physical copies of photographs and recordings must be stored securely.
5.2 Access should be restricted to authorised staff only.
5.3 Images must be deleted when no longer required or when parental consent is withdrawn.
5.4 Teachers and staff must never store images on personal devices long-term; any images must be securely transferred to DSD servers and removed from personal devices immediately.
6. Reporting Concerns
6.1 Any concerns regarding inappropriate or unauthorised photography or filming must be reported immediately to the DSD management team.
6.2 Breaches may result in disciplinary action for staff, volunteers, or restrictions for parents/guardians.
7. Review
7.1 This guidance will be reviewed annually or whenever there is a change in legislation, technology, or best practice regarding safeguarding and photography.
